CORRESPONDENCE

All correspondence(s) in respect of Tours / Travel Services and bookings should be addressed to Hello India Trip.

BOOKING

On confirmation of booking, your contract is with Hello India Trip. A contract exists between us when we confirm your tour/travel services and have received the deposit amount from your end.

PAYMENT

For the services contracted, a minimum deposit of 25% of the total cost is to be paid by you to Hello India Trip. The deposit is required to hold the booking on a confirmed basis.

BALANCE PAYMENT

Balance payment is to be made 15 days prior to the date of start of services.

     

      • Any booking made within 15 working days of the date of services would be considered to be a late booking and for the same the full and final payment is required to be made at the time of booking itself.

      • Even after paying the 25% advance to confirm your bookings, in some cases, you may be required to pay an additional advance before the final balance payment date depending on the contractor / supplier’s payment deadline.

    Note: For bookings during peak season (Christmas, New Year, Diwali, Pushkar Fair, etc.) or for special train journeys / luxury resorts, full payment is required at the time of booking.

    MODE OF PAYMENT

    International clients can make payments using any of the following methods:

       

        • Online Credit Card Payment (Visa / MasterCard / American Express / Discover / Diners Club)

        • Online Debit Card Payment (Visa / Master / Maestro)

        • Offline Credit Card Payment (Visa / MasterCard / American Express / Discover / Diners Club)

        • Bank / Telegraphic Transfer to our Bank Account

      Note:

         

          • A 3% bank charge will be levied for all payments made via credit/debit cards.

          • All payments should be free and clear of any withholding tax or deduction.

          • Bank charges for remittance (by remitting bank or intermediary bank) will be strictly borne by the payer.

        SPECIAL NOTE

           

            • Hello India Trip employees or agents will never ask for your card number, CVV, net banking login, password, or OTP.

            • We will never ask you to transfer funds to a personal account or to install third-party apps like AnyDesk, TeamViewer, etc.

          CANCELLATION / NO SHOW / EARLY DEPARTURE POLICY

          Each tour has its own cancellation policy mentioned on the respective tour description page.

          If a tour does not specify a cancellation policy, the following shall apply:

             

              • 60 days & prior to arrival – 10% of the tour/service cost

              • 59 to 30 days prior to arrival – 20% of the tour/service cost

              • 29 to 15 days prior to arrival – 25% of the tour/service cost

              • 14 to 08 days prior to arrival – 50% of the tour/service cost

              • 07 days & less, prior to arrival or no show – No Refund

            REFUND

               

                • Refunds for unused / unutilized services will be processed as per the cancellation policy above.

                • Refunds will be made to the same person who made the payment.

                • Refunds may take 2–4 weeks due to banking procedures.

                • If the refund is made via credit card or bank transfer, bank charges will be deducted from the refund amount.

              MANDATORY IDENTIFICATION DOCUMENTS

              It is mandatory for all guests (Foreign Nationals, NRI’s, and Indian Nationals) to provide valid Photo ID at the time of booking confirmation:

                 

                  • Foreign Nationals – Passport + Visa copy

                  • NRI Clients – Passport copy

                  • OCI / PIO Card Holders – Passport + OCI/PIO card copy

                  • Domestic Clients – Driving License / Voter ID / Passport copy

                ARRIVAL & DEPARTURE POLICY

                   

                    • Check-In Time: 12:00 – 15:00 Hours

                    • Check-Out Time: 10:00 – 12:00 Hours

                    • Early check-in and late check-out are subject to availability and may involve extra charges.

                    • For guaranteed early check-in, reservation should be made starting from the previous night.

                  EXTRA USAGE OF VEHICLE

                     

                      • The cost of extra vehicle usage (cars/coaches with driver) is not included in the package.

                      • Extra usage after transfers/sightseeing will be charged additionally.

                    OUR LIABILITIES & LIMITATIONS

                       

                        • After finalization of tour cost, any hike in fuel prices, monument/museum fees, taxes, or guide charges imposed by the Government of India will be charged extra.

                        • Our rates are based on current negotiations with hotels, airlines, and service providers. Any sudden changes by them may affect our quoted rates.

                        • Hello India Trip acts only as a facilitator/agent for hotels, airlines, transporters, railways, and contractors. Services are subject to their terms & conditions.

                      We shall not be responsible for:

                         

                          • Delays, cancellations, or changes due to weather, natural disasters, strikes, political closures, or acts of God.

                          • Loss, theft, injury, or accidents during the tour.

                          • Any personal expenses, loss of property, or medical costs incurred by the client.

                        Travelers are strongly advised to arrange personal travel insurance in their home country.

                        FORCE MAJEURE

                        Neither Hello India Trip nor its partners shall be held responsible for failure or delay in performance due to circumstances beyond our reasonable control, including but not limited to:
                        War, terrorism, riots, government actions, strikes, natural calamities, pandemics, epidemics, quarantine restrictions, fire, flood, earthquakes, or transport failures.

                        JURISDICTION

                        All disputes arising out of this agreement shall fall under the jurisdiction of the Courts of Agra, India only.
